VC Invoice Step-by-Step

Previous Page (Starting The Program)
When VC Invoice is started, the following screen will appear.

I will explain briefly what each button/option does and provide a link to where it will be explained in detail. You can also go direct to the section you want more information about from the contents.

Customer: The Customer Maintenance is where all the data of your Clients are stored. Information such as Name, Address, Contact Numbers, How much they have spent on the business, How much money they owe to the business, How much credit (if you give them credit) is left to be used and How much of a Discount does this Client get. Product: The Product Maintenance stores information on the products that the business sells.
The information it stores are The Name of the Product and short description, Prices, Reference number used, Which Supplier it came from, The Reference number the Supplier uses, How many units per quantity and etc. Click here for more info.

General Settings: The General Settings is where you can set the Printer Settings, Change the names on certain labels, Adjust the time and Colour of the Tool Tips and Type in the details of the Tax used in the country where the Company resides in. More detailed information on The General Settings can be found here.
Invoice Settings: Invoice Settings is where the Company details are typed in that you want to appear on the Invoice - Quotation and the Standby Sale (more info on the Standby Sale will be explained in the next paragraph). Details such as the Company Name, Physical Address, Postal Address, Phone Numbers, Email Address, Bank Details and more. Information regarding the Invoice Settings will be found by clicking here.
Receiving Payments: This is where you check to see who still owes you money. From Invoices that have been put on Hold or Invoices that have been using Credit, this is the place where you mark off a customer when they have paid what they owe to the company. For more info, click here.

Make Invoice: Here is where you make Invoices for the Business. Once you have inputted data into the Customer Maintenance - Product Maintenance - General Settings and the Invoice Settings, you can begin to make Invoices. More detailed info can be found here.
Reprint Invoice: Need another copy of an Invoice that was made a few days/weeks/months/years ago? Click here to enter the invoice number or select it from a list of invoices you have made so far. More info about Reprinting Invoice can be found here.
Standby Sales: This is for a sale you are not 100% certain that it will become an Invoice or even a Quotation. Works the same as an Invoice, but saved like an Invoice. Can be reprinted at anytime. If the customer approves, you can simply convert it to an Invoice with a few clicks of the mouse. No need to redo it. If the customer rejects it, simply delete it. Quotations: To make an estimate of costs before making the final Invoice, that is the Quotation. But you don't have to keep the one you made, you can edit the existing quotation, reprint it, convert it to an Invoice when the customer approves or simply delete it if you have no use for it anymore. Invoice Listing: View all the Invoices that have been made so far. Need to know what was in the Invoice? Double click on it and it will send you to the invoice - ready to be reprinted if needed. More info can be found here.
Table Data Listing: Need to know about how many Products - Customers - Quotations - Invoices and Standby Sales so far, but in an easy to read report? Click here for more details.
Sales Reports: Detailed Daily/Monthly/Annually Sales Reports are made here. Quickly (depending on the speed of your system. But it is much faster than you doing it by hand). Get more info about this, here.
Products Reports: Works and Functions the same as the Sales Reports, but it is for products. Click here for more info.
Now for the options at the top of the program window, where the File - Menu - Tools are shown.

Exit: Click to exit the program.

Payments On Hold: Same as the Receiving Payments button on the Main Menu and clicking on Payments On Hold. Click Here for Info.
Credit Payments: Same as the Receiving Payments button on the Main Menu and clicking on Credit Payments. Click Here for Info.

Make Invoice: Same as the Make Invoice button on the Main Menu. Click Here for Info.
Reprint Invoice: Same as the Reprint Invoice button on the Main Menu. Click Here for Info.
Invoice Listing: Same as the Invoice Listing button on the Main Menu. Click Here for Info.
Invoice Corrections: Made a mistake in a invoice that is already made? Click this option to make changes to it (including delete the invoice). Click Here for more Info.

Detailed Daily Sales Report: A subset of Sales Reports, located on the Main Menu. Click Here for Info.
Detailed Monthly Sales Report: A subset of Sales Reports, located on the Main Menu. Click Here for Info.
Annual Sales Report: A subset of Sales Reports, located on the Main Menu. Click Here for Info.

Convert Quotations To Invoice: A subset of Quotations, located on the Main Menu. Click Here for Info.
Delete Quotations: A subset of Quotations, located on the Main Menu. Click Here for Info.

Fixed Overheads: Here is where you put in goods/items/services that are always paid for every month and need to be added to the final total for the reports. For more info, click here.
Fixed Cost Of Sales: Here is where you put in goods that have been bought to for resale and need to be added to the final total for the reports. For more info, click here.

Detailed Monthly Fixed Overheads Report: For a printout of the total of the Fixed Overheads for the Month. For more info, click here.
Detailed Monthly Cost Of Sales Report: For a printout of the total of the Cost Of Sales for the Month. For more info, click here.
Monthly Trading Account Report: A print out report of all the Fixed Overheads and totals of Sales, Cost Of Sales, Gross Profit and Nett Profit for the month or a specific Month-to-Month. For more info, click here.
Annual Trading Account Report: A print out report of all the Fixed Overheads and totals of Sales, Cost Of Sales, Gross Profit and Nett Profit for the year. For more info, click here.
Detail Annual Trading Account Report: A print out report of all the Fixed Overheads in detail and Monthly totals of Sales, Cost Of Sales, Gross Profit and Nett Profit for the year. For more info, click here.

Customer: Same as the Customer button on the Main Menu. For more info, click here.
Product: Same as the Product button on the Main Menu. For more info, click here.
User: Here is where you set accounts for each person who uses the program. Who will get full or limited access in the program and so forth. Click here for more info.
Miscellaneous: This is where certain functions of the program get placed in, because it's not worth making a dedicated screen for just a small function. At the moment it has 4 frames Fixed Overhead Description Names - Fixed Overheads Supplier Names - Cost Of Sales Supplier Names and the 4th frame is left unused for cosmetic reasons. Each of the three frames allow you to add to be used in the Fixed Overhead and Cost Of Sales screens or remove names you typed into either one that you do not want to be used anymore. Envelope Printing: Printing of envelopes that will contain Invoices and are given to Clients.

Screen Position: If you have changed the position of the program on the Desktop, click on Set Default Position to reset to the default setting. Click here for more info.

Set General Settings: Same as the General Settings button found on the Main Menu. Click here for more info.
Letterhead Settings: This is where you can change the colour - font and size of your Letterhead. For more info, click here.

Calculator: Loads the Calculator that comes with Windows, if it is installed.
Notepad: Starts up the Notepad that comes with Windows, but only if it is still installed.
WordPad: Calls up WordPad, an application that comes with Windows, but only if it is installed.
Paint: Loads up the Paint program that is bundled with Windows, but only if it is still installed.

Contents: Shows some basic information regarding VC Soft software.

Registration: Once bought, you can put the serial number here. For more info, click here.
About: Gives information on who made the program and what the version number is.
